This Hub is your one-stop shop for all things sponsorship. The Exhibition Space

The Exhibition will be located in the foyer outside the main conference room and will be a central part of the event.  Attendees will move through the space throughout the day, with morning tea, lunch, afternoon tea and networking all taking place in the Exhibition area.This means plenty of opportunities to connect with attendees, catch up with colleagues and make the most of your time at the event.

What’s Included in Your Exhibition Booth

If your Sponsorship package includes an exhibition booth, you will receive the following:
  • One trestle table (H: 72 cm, L: 200 cm, W: 61 cm)
  • One standard power point
  • Two chairs
  • Black table linen
  • Registration for two exhibitor representatives with access to the Exhibition area
  • Catering for exhibitor representatives, including morning tea, lunch and afternoon tea
  • Name badge and lanyard
  • One complimentary event registration

Exhibition Floor Plan

We’ll design the Exhibition floor plan to create a welcoming, easy-to-navigate space for attendees and give exhibitors great opportunities to connect.Confirmed key sponsors will have priority in selecting their exhibition location.  We’ll share the final floor plan and your allocated table location once arrangements have been confirmed.Keep an eye out.  

Bringing Your Exhibition To Life

Want to do a little more with your space?You can bring your own display, promotional materials and approved activation ideas to help make your space your own.  There are some venue requirements to keep in mind, so please check the relevant information in this Hub before making arrangements.MCEC also offers a range of optional stand activations.  If you're interested, let Natalie know, and we can connect you with the MCEC team to explore options.

Need More Registrations?

If you’d like to bring additional team members, additional exhibitor registrations are available for $100 + GST per person.Each additional registration includes:
  • Access to the Exhibition area
  • Morning tea, lunch and afternoon tea
  • Name badge and lanyard

You’ll be joining a great group of organisations at our event.  Take a look at who will be exhibiting and/or sponsoring, and get to know the organisations you’ll be able to connect with. We’ll update the directory as other sponsors and exhibitors are confirmed.

Advice Hub

We’re also bringing in-person advice and support directly to the event through our Advice Hub.The Advice Hub gives attendees the opportunity to have conversations with experienced organisations, ask questions and get practical advice about issues that matter to them, all in a face-to-face setting.It’s another way we’re making the event useful beyond the sessions and presentations, giving attendees the chance to connect directly with organisations and access information and support on the day.

Getting Ready

The countdown is on!  Use this checklist to keep your sponsorship and exhibition preparations on track and make sure everything is ready for event day.Your sponsorship package determines which tasks and deliverables apply to you, so please refer to your Sponsorship Agreement for your specific inclusions.We’ve outlined the key deadlines below including what you need to provide, what you need to arrange and when you can expect information from us.  We recommend adding these dates to your calendar and working through the checklist as you go.If you’re unsure about anything or your plans change, please contact Natalie.  We’re here to help.

Sign and return your Sponsorship Agreement
Pay your initial sponsorship invoice
Provide your public liability insurance certificate
Provide your corporate logo and website link
11th September
Confirm if you’ll be providing a flyer or promotional item for the Attendee tote (If included in your package).
Register your team representatives for the exhibition and complimentary event passes using the Access Code provided. You can register here. Contact Natalie if you require additional tickets.
Let us know about any activation or non-standard exhibition requirements that may require Housing Hub or MCEC approval.
Provide your video advertisement for screening at our event.
Pay your remaining sponsorship invoice.
15th September
Seek approval for any flyer or promotional item for the attendee tote that doesn’t meet specifications.
18th September - Housing Hub Provides:
1. Exhibition floor plan and booth allocation
2. Final bump-in/bump-out schedule
3. Final quantities and delivery instructions for tote bag flyers and promotional items
4. MCEC delivery label and instructions.
18th September
Arrange any additional MCEC services as required (e.g, additional power cords, dedicated internet, AV, etc).
Ensure all complimentary attendees and exhibitor representatives are registered using your access codes including dietaries.
25th September
Review and familiarise yourself with bump-in and bump-out requirements including freight and delivery arrangements.
29th September - Housing Hub provides:
Attendee registration details subject to attendee consent and privacy requirement.
30th September
Deliver flyers and promotional items to Housing Hub.
Complete MCEC venue induction for anyone that will be onsite during bump-in or bump-out.
For sponsorship packages that include a printed flyer or promotional item in the attendee tote bag, sponsors may provide materials subject to the specifications below.Printed flyers & brochures
  • Maximum size: A4
  • Paper stock: Up to 300 gsm
  • Format: Single or double sided
  • May be folded
Promotional items
  • Maximum dimensions: 10 × 7 × 5 cm per item
  • Maximum weight: 100 g per item
  • Not permitted: Food, beverages, liquids, glass, sharp, breakable or hazardous items.
All materials must be delivered ready for inclusion in the tote bag.ApprovalAny materials outside of the above specifications must be submitted to Housing Hub for approval by Tuesday, 15 September.  Housing Hub will advise the outcome by Friday, 18 September.QuantitiesQuantities will be advised by Friday, 18 September.  Any unused materials will be returned to a nominated address. DeliveryAll materials must be delivered by Wednesday, 30 September.Delivery is at the sponsor's expense.Delivery address:Housing Hub3/991 Whitehorse RoadBOX HILL   VIC   3128Please clearly label all deliveries with the sponsor name.  Materials received after the delivery deadline, or materials that do not meet the agreed specifications, may not be included in attendee tote bags.
